Location: Remote (any U.S. time zone)
Hours: Monday–Friday, 8:00 AM – 4:30 PM (flexible)
Position Summary
The CTMS Administrator is responsible for the oversight and coordination of all activities related to the Clinical Trial Management System (CTMS) used in the planning, execution, and reporting of clinical trials at City of Hope. This position manages the build, configuration, and ongoing maintenance of all CTMS components—including study documents, research calendars, data collection tools, and financial modules.
The CTMS Administrator collaborates closely with Clinical Research leadership, Legal, Finance, and other internal partners to ensure the system is fully implemented, compliant, and optimized for operational efficiency. This role reports to the Director of Clinical Trials and adheres to all applicable policies, Good Clinical Practices (GCP), and regulatory standards.
Key Responsibilities
Lead the build, implementation, and ongoing optimization of the Clinical Trial Management System (CTMS).
Serve as the primary resource for CTMS updates, enhancements, modifications, and system support.
Oversee system security, user access, and compliance monitoring.
Partner with Information Systems to identify system integrations and assess feasibility.
Validate initial study builds and ensure consistent utilization of all system modules (study setup, calendars, data collection, budgeting).
Collaborate with Research Finance on the financial components of the CTMS.
Develop CTMS workflows to support recruitment, data management, billing compliance, and study oversight.
Create and maintain policies, procedures, and standard work instructions for CTMS use.
Generate accurate and timely reports on study activity, metrics, and financials.
Collaborate with Revenue Cycle and Finance teams to support financial reporting and reconciliation.
Provide end‑user training and troubleshooting as the internal CTMS subject-matter expert.
Qualifications
Education
Bachelor’s degree required (Life Sciences or IT preferred).
Experience
Minimum 3 years of experience in clinical research.
Experience in an oncology research setting preferred.
Experience working with multiple CTMS or clinical operations software systems.
System programming experience a plus.
Skills
Strong organizational skills; adaptable and detail oriented.
Ability to work effectively with multiple internal and external stakeholders.
Understanding of clinical research processes, workflows, and regulatory requirements.
Excellent communication and training skills.
