We are looking for an Administrative Program Coordinator for the Adolescent and Young Adult (AYA) Program – this research will support the operational and analytical functions of AYA research initiatives. You will be responsible for coordinating patient screening workflows, recruiting and consenting participants for research studies, and ensuring accurate data collection and database management. You will generate and maintain reports, track program metrics, and support regulatory and compliance processes related to human subjects’ research.

This position requires strong organizational and analytical skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, patient-centered environment. You will work closely with clinical and research teams while maintaining the highest standards of professionalism, confidentiality, and data integrity. The role reports directly to the AYA Program Manager and is critical to advancing the program’s research portfolio and improving patient engagement in clinical studies.

As a successful candidate, you will:

·         Ensure participants are appropriately registered in databases, maintain documentation of participant registration and database and report management

·         Play active role in recruitment of participants to study.

·         Assist in the daily administrative functions of managing an effective department. Use discretionary initiative and judgment in handling sensitive and confidential details, establishing priorities and resolving problems relating to daily operations and administrative details of a highly functioning department in the daily administrative functions of managing an effective department.

·         Assist in department business activities, including but not limited to: budget preparation and monitoring; account management; purchasing; personnel; facilities; travel and reporting required by the institution.

·         Coordinate and maintain calendar of clinical research department meetings inform faculty and administrative staff of meeting schedule as well as prepare meeting agendas and other related materials.

·         Schedule and maintain calendars, appointments and meetings for AYA Program research.

·         Resolve routine and complex inquiries and problems requiring in-depth knowledge of departmental and organizational policies, procedures & projects in progress.

·         Organize and expedite flow of work, initiating follow-up action as appropriate. Coordinates and maintains department policy/procedure administrative training manual. 

Qualifications

Your qualifications should include:

·         Bachelor’s Degree in Public Health or related field.  Masters preferred. 

·         3 or more years of progressively responsible experience in a healthcare environment, the conduct of health science research or an equivalent combination of education and experience.
