Position Summary:
The Patient Service Coordinator serves as the first point of contact for patients, families, and visitors in the cancer clinic, under direct supervision of Practice Manager. This role is critical in creating a welcoming, compassionate, and efficient environment while managing administrative tasks that support patient care and clinical operations.

- Patient Check-In/Check-Out & Scheduling
- Welcome patients and visitors warmly, ensuring a supportive and empathetic atmosphere.
- Manage patient check-in/check-out processes, verify insurance, and update patient registration and demographic information.
- Provide clear instructions regarding appointments, procedures, and paperwork.
- Coordinate/schedule patient appointments including follow-ups, labs, and treatments.
- Manages multiple providers’ schedule following specific scheduling guidelines.
- Answer phone calls, respond to inquiries, and route messages to appropriate staff.
- Constantly maintain communication between patients, clinical, non-clinical, and administrative staff.

- Administrative Support
- Assist with triaging medical records requests, scanning and filing documents, and maintain confidentiality in compliance with HIPAA.
- Collect co-payments/patient balances using EMR system.
- Collaborate with financial counselors to help patients understand insurance benefits and covered services.
- Assist with clinic correspondence, including emails, letters, and patient reminders.
- Manage office supplies stocking.
- Cross cover for other administrative tasks as needed.
- Help cover for front desk at other outpatient sites in Phoenix, if required.
- Maintain a clean, sanitized, and welcoming environment at the front desk and throughout the patient lobby.
- Monitor patients flow to minimize wait times and coordinate with clinical staff.
- Provide emotional support and reassurance to patients and families during stressful visits.
Follows established City of Hope and department policies, procedures, objectives, performance improvement, attendance, safety, environmental, and infection control guidelines, including adherence to the workplace code of Conduct and Compliance Plan.
Practices a high level of integrity and honesty in maintaining confidentiality.
Performs other related duties as assigned or requested.
Minimum Education: ·High school diploma or equivalent.
Minimum Experience:
- 2-3 years of prior experience in healthcare administration, medical office, or oncology clinic setting.
- Strong interpersonal and communication skills, with sensitivity to patients undergoing cancer treatment.
- Proficiency in medical scheduling software and Microsoft Office Suite.
- Knowledge of insurance verification and HIPAA regulations.
