The Business Manager supports the administrative, operational, and financial performance of the
Cherng Family Center for Integrative Oncology. This position manages a variety of complex project planning, implementation, analysis, evaluation and reporting functions to support clinical, research, and education initiatives at the Cherng Family Center. Daily operational/administration oversight includes review and approve financial reports and analyses of the Cherng Center portfolio. Prepare and develop departmental budgets using actual and projected data. Manage Cherng Center funded projects and extramural funds, resource allocation, and comprehensive forecasting of average spending ensuring all expenditures are appropriate and allowable within grant and institutional policies. Under the direction of the Cherng Center Executive Director, implement long-range financial plans, analyze, and prepare donor expense reports for philanthropy. Work with PIs in handling patents, intellectual properties and clinical trials as required. Lead and drive key projects and Cherng Center initiatives, encompassing project management and clinical programs. Effectively collaborate on a continual basis with Office of Sponsored Research, Research Protections, Research Data Management and other collaborators.  Initiate internal hiring processes, recruitment, and onboarding of faculty and non-faculty. This position develops project plans, coordinates and implements program events and manages activities successfully to completion. Helps lead the management of strategic initiatives to enhance productivity, capacity/utilization, resource/financial management, and patient experience. Identifies and pursues performance improvement efforts and serves as the primary point of contact for daily operational activities. This position is hybrid (work partially on the City of Hope Duarte, Lennar and other community Sites) and may manage and provide oversight of the staff.

As a successful candidate, you will:

  • Work with Cherng Center leadership on operations/administration, which may include the following:

Financial Management

Ø  Develop, prepare and manage institution cost centers for all grants and discretionary funds including areas such as expenditure control, revenue monitoring and invoicing.

Ø  Develops long-range financial plans, analyses, and recommends adjustments where appropriate. Financial owner and signer on all grants and discretionary accounts in the departments managed.

Grant Management

Ø  Provides leadership and oversight of post- award process and grant activity. Assist faculty with project technical, and financial report submission of internal/external grants, and project deliverables. The role involves interaction with various centralized offices and departments, financial forecasting, and resolving budgetary issues.

Ø  Manages spending on grants so that all expenditures are appropriate and allowable within the grant budget and year-end. Reviews, approves and tracks any cost sharing commitments, provides oversight and guidance on grant budget spending and provides spending projects to PIs as needed, understand and enforces City of Hope research compliance policies for research subjects use, conflict of interest disclosure, biosafety and effort certification, and ensures agency requirements, deadlines and internal schedules for tracking proposal development and responses are communicated.

Support Services

Ø  Establishes and maintains close working relationships with central departments. Coaches and mentors new staff. Serves on institutional committees as requested. Develops and maintains effective communication program with the unit including timely reciprocal exchange of information between the Cherng Director, faculty and staff. Meet with faculty periodically to review financial status of funds.

Strategic Planning

Ø  Participates in strategic planning along with other management staff. Provides financial information and analysis to operating managers to assist in the development of proposals for various business program projects.

Recruitment

Ø  Evaluates grants and philanthropy funds for transferability and complexity for faculty recruitment. Facilitates the transfer of grants during onboarding of new faculty.

Policy Implementation

Ø  Develops, oversees and implements internal policies and procedures covering financial and research processes. Ensures department compliance with internal and external compliance program.

·         Partner with clinical leaders and Integrative Medicine service providers to plan, implement, evaluate, and report on clinical programs.

  • Support Cherng Center leaders and researchers in planning and implementing research initiatives including pilot funding program and fostering collaboration among Integrative Oncology researchers.
  • Support Cherng Center leaders in planning, launching and evaluating Integrative Oncology training and education activities for clinicians, patients and the community.
  • Proactively develop, track and analyze key performance metrics and report deliverables making recommendations for improvement and growth.
  • Manage multiple project budgets and report on financial performance, and implement action for the Cherng leadership and Philanthropy team as needed.
  • Partner with Cherng Center leaders to organize annual site visits and events. Liaison with City of Hope Marketing to effectively promote and maintain the Cherng Center's media platforms and their successes.

Qualifications

Your qualifications should include: 

    • Bachelor’s degree in healthcare, business or related field.
    • 3+ years of Research administration/operations experience preferably in a healthcare/academic environment.
    • Excellent interpersonal, communication, and organizational skills.
    • Strong financial analysis, event and project management skills/experience.
    • Self-starter, outcomes and results-driven.
    • Proficient in Microsoft products: Excel, Word & PowerPoint.
