The Administrative Program Coordinator provides essential administrative and programmatic support to the Center for International Medicine (CIM) team. This role supports program development, coordination, and implementation, while assisting CIM leadership with scheduling, prioritizing meetings, and organizing key departmental activities. The position involves managing department-specific programs and contributing to various cross-functional projects. It requires a high degree of autonomy, collaboration across medical, administrative, research, and external institutional partners, and the ability to handle complex and confidential assignments with professionalism. Success in this role demands strong organizational skills, attention to detail, flexibility, and the ability to multitask in a dynamic environment. The ideal candidate is self-motivated, resourceful, and capable of delivering high-quality outcomes independently.

As a successful candidate, you will:

  • Assist in daily operation needs related to Center for International Medicine patient services, supporting patient-team communications and follow up with internal and external customers.

  • Effectively communicate with international patients, staff, and visitors.

  • Prepare internal and external documents for department project management, including contract management and upload into required systems.

  • Facilitate department reconciliation, cost transfers, invoice payments, and stipends.

  • Facilitate ERP requests, facilities requests, catering requests, travel requests, or department related expenses.

  • Assists in department business activities, including: account management; purchasing; personnel; facilities; travel and reporting.  

  • Participate in short and long-range planning and policy or program development by analyzing operational policies, resource utilization, etc. and developing recommendations for department management.  

  • Partners and collaborates with key partners on proposed scope and/or process changes.

  • Coordination of meetings, managing calendars, appointments, meetings & travel itineraries/arrangements for Department.

  • Serve as a primary point of contact and as a liaison to visitors (physicians, vendors, students, allied health professionals) and fulfill information requests from internal and external business contacts.

  • Coordinate visitors and observers process for the department, coordinate external visitors’ activities including symposiums, outreach events and engagement activities.

  • Assist management and identify growth opportunities, supporting training needs and implementing any applicable education, training, onboarding, and/or mentorship.

Qualifications

Your qualifications should include:

  • Bachelor’s Degree in healthcare related subjects. Equivalent experience 

    may substitute for minimum education requirements.

  • 3 or more years of progressively responsible experience in business 

    administration, clinical research or healthcare environment

  • Fluency in another language in addition to English (written and verbal)

  • Healthcare experience preferred

Additional Information:

Job Status: Full time, exempt

Salary range $68,640.00 - $104,582
